Job Description: Hybrid-based position Alabama Media Group, one of the country’s most innovative local media companies, is seeking an Executive Assistant to provide exceptional administrative support to the President. This role is responsible for performing a full range of high-level administrative duties and managing the daily operations of the office of the President.

What you'll be doing:

  • Manage the executive’s calendar by scheduling meetings, appointments, and arrangements. Filter meeting requests, help select, coordinate meetings with other leaders or vendors.

  • Act as a liaison between the executive and internal/external stakeholders, ensuring effective communication.

  • Coordinate travel.

  • Prepare reports, presentations, and other documents as needed.

  • Prepare executive for each meeting or engagement with briefing materials. Attend meetings, take notes, establish next steps and post meeting activities.

  • Coordination of daily recaps, task resolution, gathering action items and resolving outstanding items.

  • Email management to include tracking incoming and outgoing emails, preparing drafts for quick sending, and optimizing inbox organization with folders, reminders, flags, etc.

  • Maintain organized and efficient filing systems, both physical and digital.

  • Handle confidential information with discretion and professionalism.

  • Adapt to changing priorities and workloads while maintaining a high level of organization and attention to detail.

Our ideal candidate will have the following:

  • College degree in Business Administration or related field or a combination of education and experience demonstrating ability to perform the job. 5+ years’ experience as an Executive Assistant, preferred.

  • Highly proficient in Microsoft office including Word, Excel, PowerPoint and Teams

  • Superior editing and grammar skills. Editing reports, meeting minutes, sponsorship materials, and various media to ensure accuracy and correct use of grammar, punctuation and spelling.

  • Ability to work in the office with limited notice and travel overnight, as needed.

  • Excellent computer and typing skills.

  • Ability to thrive in in a deadline-oriented team environment, while maintaining integrity and professionalism.

  • Be process-focused, highly organized, energetic, detail-oriented, a problem-solver and exhibit sound judgment.

  • Ability to manage stressful situations in a calm professional manner, diffusing the situation and leading to the problem's resolution.
